We're thrilled to have you on board as a valued NotaryCam partner! This guide is designed to walk you through setting up your account, managing users, and navigating our platform with ease. Let’s get started!


Account Setup and User Creation


Your Enterprise Account is ready! The designated administrator will receive a welcome email with setup instructions. Once logged in, they can create additional administrator, notary, and auditor accounts. Follow the steps below to ensure a smooth setup.


Getting Started: NotaryCam Management Center Demo

Enterprise Administrator Account Review

  1. Find Your Welcome Email

    • Follow the instructions for first-time login and password creation.

    • Visit secure.notarycam.com to log in anytime.

  2. Navigating the Dashboard

    • After logging in, you’ll land on the user dashboard, where all transactions are displayed.

    • To configure your account, click the dropdown in the upper-right corner and select Manage Account.

  3. Exploring the NotaryCam Management System (NCM)

    • As an Enterprise Administrator, you have access to powerful tools for managing users, roles, and transactions.

    • Key sections in the left-side menu include:

  4. Commission Information (Required for notaries before processing transactions):

    • Commission County Name

    • E&O Expiration Date

    • Commission Expiration Date

    • E&O Amount

    • Commission Number Identifier

    • Bond Expiration Date

    • State Code

    • Bond Amount

    • Commission Seal

    • Identrust Certification (.p12 format)

  5. My Account (Each user must enter the following details):

    • Full Name (First, Middle, Last, Suffix)

    • Phone Number

  6. Transactions

    • View and track all transactions within the system.

  7. Groups

    • Organize users into different departments (e.g., Global, Department A, Department B).

    • Assign roles:

      • Department Administrator

      • Auditor

      • Notary

  8. Administrator Controls

    • Filter and manage users by role (Notary, Administrator, Auditor, or None).

    • Search and create new users with:

      • First Name

      • Last Name

      • Email Address

      • Group Assignment


Creating Departments in NotaryCam

For enterprises with multiple departments, here’s how to set them up:

  1. Log in and go to the NotaryCam Management System.

  2. Select Departments from the left menu > Click See All.

  3. Click Create Department on the right.

  4. Enter the department name and click Create New Department.

  5. Repeat as needed for all departments.


Adding New Users

  1. Navigate to the Dashboard within the NotaryCam Management System.

  2. Click Users on the right menu > Select See All.

  3. Click Create User.

  4. Enter user details:

    • Name and email

    • Assign a department (or choose "Global" for full enterprise access)

  5. Select the appropriate role (Administrator, Auditor, Notary, etc.).

  6. Click Create User.

  7. The user will receive a welcome email with login instructions.

  8. Repeat as needed for additional users.


Decommissioning a User

Need to remove a notary from your enterprise account? Follow these steps to deactivate their access while maintaining their past transaction history:

  1. Navigate to Groups in the NotaryCam Management System.

  2. Search for the notary.

  3. Select their name.

  4. Click the three-dot menu and choose Remove User.


User Roles, Permissions & Access Levels

Enterprise Administrator (Full Access)

✔ Create and manage users & departments
✔ View and manage all transactions, documents, and recordings
✔ Access audit history & notary journals
✔ Download all locked documents
✔ Manage room statuses


Department Administrator (Limited to Assigned Department)

✔ Manage users & roles within their department
✔ View and download department-specific transactions and documents
✔ Access department audit history & recordings
✔ Oversee department room statuses


Enterprise Auditor (Read-Only, Full Access)

✔ View and review all transactions globally
✔ Access audit history, recordings, and notary journals
✔ Download all locked documents
✔ Monitor room statuses


Department Auditor (Read-Only, Department Access Only)

✔ View department transactions and recordings
✔ Review audit history & journals within their department
✔ Download department-specific locked documents
✔ Monitor department room statuses
